Getting Started: The Very First Thing You MUST Do

Before you can do ANYTHING fun with GilRobo, you need to give it a special key. Think of it like putting batteries in a toy – without batteries, the toy won’t work!

What is an API Key?

An API Key is a secret password that lets GilRobo talk to a super-smart AI brain in the cloud. It’s like having a library card that lets you borrow books from a huge library.

Step 1: Get Your API Key

You need to get your key from one of these AI companies. Don’t worry – it’s free or very cheap to start!

Company Website Best For
DeepSeek chat.deepseek.com FREE and very smart!
OpenAI platform.openai.com The most popular
Google Gemini aistudio.google.com Great for learning
Anthropic Claude console.anthropic.com Super helpful

Follow these steps:

  1. Ask your parent or teacher to help you visit one of these websites

  2. Create a free account (you might need to add a credit card, but you can set a spending limit)

  3. Look for a section called “API Keys” or “API Tokens”

  4. Click “Create New Key” or “Generate New Token”

  5. Copy the long, secret code that appears (it looks like this: sk-51f256da20694c7d8c6b179350f2a0c0)

Step 2: Put Your Key in GilRobo

https://images/api-key-section.png

  1. Look at the VERY TOP of the GilRobo page

  2. Find the box that says “Paste API key here (required)”

  3. Click inside the box and paste your secret key (right-click and choose “Paste” or press Ctrl+V)

  4. Click the blue Save button next to it

🔴 DON’T SKIP THIS STEP! The AI magic won’t work without it.

💡 TIP: Your browser will remember your key, so you only have to do this once!

  • The subject (like “Science”)

  • The date and time you played

  • The players and their scores

  • Two buttons for each quiz

6.2 Understanding a History Entry

Let’s look at one entry:

text
┌─────────────────────────────────────────────────────────────┐
│ Science - 15/03/2024, 14:30 — Sarah (7/10) │
│ │
│ [🌍 Public] [View Full Results] │
└─────────────────────────────────────────────────────────────┘

This tells you:

  • You played a Science quiz on March 15, 2024 at 2:30 PM

  • Sarah scored 7 correct out of 10

  • The quiz is currently Public (everyone can see it)

  • You can click to see all the details

6.3 The Public/Private Button

This is one of the most important buttons!

https://images/public-private-button.png

Button Color What It Means Who Can See It
Green “🌍 Public” Your score is shared Everyone in the world!
Gray “🔒 Private” Your score is hidden Only you

🔴 Click the button to switch between Public and Private.

Why make a quiz Public?

  • You’re proud of your score

  • You want to compete with friends

  • You want to be on the leaderboard

Why keep it Private?

  • You’re practicing and don’t want others to see

  • It’s a test you don’t want to share

  • You made mistakes you’re embarrassed about

6.4 Viewing Full Results

🔴 Click the View Full Results button on any quiz.

This opens a window showing the complete results, just like in the Results Tab. You can see:

  • Your answers

  • The correct answers

  • Explanations

This is perfect for studying for a big test!

https://images/history-search.png

As you play more and more quizzes, the list gets long. Use the search box to find specific ones:

🔴 Type a subject (like “Science”) or a player name (like “Sarah”) and only matching quizzes will appear.

6.6 The “Show only subjects already played” Filter

This is a cool feature for planning what to study next.

https://images/history-filter-checkbox.png

  1. 🔴 Check the box that says “Show only subjects already played and above”

  2. 🔴 Set a percentage in the box (like 70%)

What this does:
It hides subjects where you’ve already scored above 70%. This helps you focus on the topics you need to practice more!

For example:

  • If you scored 85% on Science, Science disappears

  • If you scored 60% on Math, Math stays visible

  • Now you know to practice Math more!

6.7 My Device Sessions – Your Private Record

https://images/my-device-sessions.png

  • Even quizzes you made Private are here

  • You CAN’T delete these – they’re permanent

  • This helps teachers and parents see your progress

🔴 Click the 🔄 Refresh button to load your latest sessions.

Each entry shows:

PART 4: FOR MINISTRIES OF EDUCATION (Continued)

Understanding Learning Across the Nation

Chapter 24: Setting Up Nationwide Data Collection

To get the full picture of learning across your country, you need to set up data collection properly. This chapter walks you through the process step by step.

24.1 The Cloud Sync System

https://images/cloud-sync-button.png

Look for the small ☁️ button floating at the bottom right of every page. This is your gateway to nationwide data!

When you click it, the Cloud Sync Panel opens:

https://images/cloud-sync-panel.png

What is Cloud Sync?

Cloud Sync lets you send data from all schools to a central database. Think of it like this:

  • Each school = A tree

  • Cloud Sync = Collecting all the apples from every tree

  • Central database = One big basket of apples

Now you can see all the apples at once!

24.2 Choosing Your Cloud Provider

https://images/cloud-provider.png

You can send data to several different places:

Provider Best For What You Need
Custom REST API Your own custom system Your own server
Microsoft Azure Schools already using Microsoft Azure account
Microsoft Dataverse Power Platform users Dataverse environment
Amazon AWS Schools using Amazon AWS account
WordPress Schools with WordPress sites WordPress site with plugin

Setting Up a Custom REST API

If you have your own server, this is the most flexible option:

  1. 🔴 Select 🌐 Custom REST API from the dropdown

  2. Fill in:

    • API Base URL – Your server’s address (e.g., https://api.education.gov/country)

    • API Key – A secret key to keep data safe

🔴 Click the 🗄️ Create Tables button

This will automatically create tables for ALL the data types:

Table Name What It Stores
gs_students All student information
gs_quiz_results All quiz scores
gs_lectures All classroom sessions
gs_settings Teacher settings
qm_quiz_history Quiz history from students
qm_quiz2_history IELTS and Quiz 2 results
qm_tutorial_history Tutorials created
qm_custom_topics Custom topics made by teachers
qm_custom_questions Custom questions made by teachers
gr_pd_history Parent consultations
pd_admin_settings Parent Day settings

24.4 Choosing What Data to Sync

https://images/data-tables-selection.png

You don’t have to sync everything! Check or uncheck boxes to choose:

  • ✅ Students – Basic student information

  • ✅ Quiz Results – All quiz scores

  • ✅ Classroom Sessions – Live lesson data

  • ☐ Teacher Settings – How teachers configure things

  • ✅ Quiz History – All quiz attempts

  • ☐ IELTS Results – Advanced English test results

  • ☐ Tutorials – Tutorials created

  • ☐ Custom Topics – Teacher-created topics

  • ☐ Custom Questions – Teacher-created questions

  • ✅ Parent Consultations – Parent meeting records

For ministry-level analysis, we recommend syncing:

  • Students

  • Quiz Results

  • Parent Consultations

This gives you the big picture without too much detail.

24.5 Syncing Data

Once everything is set up, you have several options:

Button What It Does
📤 Push All Sends ALL data from this school to the cloud
📥 Pull All Downloads data from the cloud to this school
🔁 Two-Way Sync Does both – sends and receives

Pushing Data (Sending to the Cloud)

When you click 📤 Push All:

  1. A progress bar shows how it’s going

  2. Each table is processed one by one

  3. You’ll see ✅ when each table is done

  4. A green toast message says “☁️ All pushed to cloud!”

Pulling Data (Getting from the Cloud)

When you click 📥 Pull All:

  1. The app downloads the latest data from the cloud

  2. It MERGES with existing data (doesn’t delete anything)

  3. Newer data overwrites older data

  4. A blue toast message says “📥 All pulled from cloud!”

Two-Way Sync (Both Directions)

When you click 🔁 Two-Way Sync:

  1. First it pulls the latest data FROM the cloud

  2. Then it pushes your new data TO the cloud

  3. Everything is perfectly synchronized

  4. A green toast message says “✅ Two-way sync done!”

24.6 Understanding the Sync Log

https://images/sync-log.png

The Sync Log at the bottom of the panel shows everything that’s happened:

text
14:32:45 ✅ Pushed gs_students (124 students)
14:32:42 📥 Pulled gs_quiz_results (3,456 results)
14:32:38 🔌 Test Connection successful
14:30:12 ⏱ Auto-sync every 60 min

Each entry shows:

  • Time – When it happened

  • Icon – What type of action

  • Message – What happened

  • Color – Green for success, red for errors

🔴 Click Clear to empty the log (but keep it for troubleshooting!)

24.7 Automatic Syncing

You can set the system to sync automatically!

  1. 🔴 In the Auto-Sync Interval box, type a number (like 60)

  2. This means “sync every 60 minutes”

  3. Set to 0 to turn auto-sync off

The system will now sync automatically in the background while teachers teach and students learn!

24.8 Multiple Connectors – The Power Feature

https://images/multiple-connectors.png

This is where GilRobo becomes SUPER powerful. You can connect to MULTIPLE systems at once!

For example, a school could connect to:

  • Their own school database (for daily records)

  • The regional education office (for monthly reports)

  • The national ministry (for annual statistics)

Or a ministry could connect to:

  • All schools directly (for real-time data)

  • Regional offices (for aggregated data)

  • Research institutions (for anonymized research data)

Adding a New Connector

  1. 🔴 Click + Add next to “Additional Connectors”

  2. A pop-up appears:

https://images/add-connector.png

  2. 🔴 Click 💾 Save Connector

Now you have TWO destinations for your data!

Testing a Connector

🔴 Click the Test button next to any connector to make sure it’s working.

Syncing a Specific Connector

🔴 Click the Sync button to sync ONLY with that connector.

24.9 Real-World Example: National Education Dashboard

Let’s walk through how a Ministry of Education would use all this:

Step 1: Set Up Central Database

  • Create a secure server (with help from IT experts)

  • Set up a REST API endpoint

  • Generate an API key

Step 2: Configure GilRobo at All Schools

  • Send instructions to every school

  • They enter the central API URL and key

  • They click 🔁 Two-Way Sync

Step 3: Watch Data Flow In

text
School 124: ✅ Pushed gs_quiz_results (456 results)
School 56: ✅ Pushed gs_quiz_results (234 results)
School 89: ✅ Pushed gs_quiz_results (567 results)
...

Step 4: Analyze Nationwide Data
Now you can answer questions like:

“How are Year 6 students doing in Mathematics across the country?”

“Which regions have the highest science scores?”

“Are students improving compared to last year?”

“Which topics are hardest for students nationwide?”

Chapter 25: Creating National Reports

With data flowing in from all schools, you can create powerful reports that show the state of education across your country.

25.1 Types of National Reports

  • English interventions are working!

25.5 Identifying Achievement Gaps

The most important reports show WHERE students are struggling.

By Geographic Region:
Which areas have the lowest scores?

By School Type:
Are public schools performing differently than private schools?

By Demographic:
Are there gaps between different groups of students?

Example Report:

text
Region | Urban Schools | Rural Schools | Gap
------------|---------------|---------------|-----
North | 79% | 71% | 8%
South | 74% | 62% | 12%
East | 68% | 55% | 13%

This shows a rural-urban achievement gap that needs attention!

25.6 Exporting Reports

Once you’ve created reports, you can export them:

Format Best For
PDF Printing and presenting
CSV Further analysis in Excel
JSON Sending to other systems
HTML Publishing on websites

Chapter 26: National Interventions and Policy Making

With all this data, you can make INFORMED decisions about education policy.

26.1 Identifying Problems Early

The Early Warning System:

https://images/early-warning.png

When data shows a region dropping below threshold, you can act BEFORE it becomes a crisis.

Example Scenario:

  • January: East Region scores 68%

  • February: East Region scores 65%

  • March: East Region scores 62%

🚨 ALERT! East Region is declining rapidly!

Action:

  • Send inspection team

  • Provide extra resources

  • Investigate causes (new teachers? funding cuts? local issues?)

26.2 Testing New Policies

Want to know if a new teaching method works? Test it!

The Experiment:

  • Group A (Control): 50 schools, continue normal teaching

  • Group B (Test): 50 schools, use new method

Measure:

  • Before: Both groups score 70%

  • After 6 months: Group A 71%, Group B 78%

Conclusion: The new method works! Roll it out nationwide.

26.3 Resource Allocation

Use data to decide where to send money and support:

Region Performance Need Level Action
North 78% (Good) Low Maintain
South 68% (Fair) Medium Some support
East 55% (Poor) High URGENT SUPPORT

Send to East Region:

  • Extra teachers

  • New textbooks

  • Teacher training

  • Technology resources

26.4 Curriculum Updates

When subject scores decline nationwide, it’s time to update the curriculum.

Example:

  • Science scores dropping for 3 years

  • Teachers report outdated materials

  • New scientific discoveries not included

Action:

  • Form curriculum review committee

  • Update science curriculum

  • Provide new training for teachers

  • Monitor next year’s scores

26.5 Teacher Training Programs

Identify which teachers need more training:

By Performance:

  • Top 10% of teachers → Become mentors

  • Middle 80% → Regular training

  • Bottom 10% → Intensive support

By Subject:

  • Math teachers scoring low → Math training

  • Science teachers improving → Share their methods

26.6 National Goals and Targets

Set clear, measurable goals for the whole country:

Example National Goals for 2025:

  1. 🎯 Raise average accuracy from 72% to 75%

  2. 🎯 Close rural-urban gap from 12% to 8%

  3. 🎯 Improve science scores by 5%

  4. 🎯 Reduce at-risk students by 20%

Track Progress Quarterly:

text
Goal | Q1 | Q2 | Q3 | Q4 | Target
------------------------|-----|-----|-----|-----|-------
Average Accuracy | 72% | 73% | 74% | 75% | ✅ MET
Rural-Urban Gap | 12% | 11% | 9% | 8% | ✅ MET
Science Improvement | +1% | +2% | +4% | +5% | ✅ MET
At-Risk Reduction | -5% | -10%| -15%| -20%| ✅ MET

Chapter 27: Privacy, Ethics, and Legal Considerations

When collecting data from millions of students, you MUST do it responsibly.

27.1 Data Privacy Principles

Principle What It Means
Minimal Data Only collect what you need
Anonymization Remove personal information
Security Keep data safe from hackers
Transparency Tell people what you’re collecting
Choice Let schools opt out
Retention Delete data when no longer needed

27.2 What Data to Collect (and What NOT to Collect)

✅ DO Collect:

  • Quiz scores (anonymized)

  • Subject performance

  • Regional data

  • School type

  • Grade level

  • Trends over time

❌ DON’T Collect:

  • Student names (use IDs instead)

  • Home addresses

  • Photos

  • Parent information

  • Health information

  • Political or religious beliefs

27.3 Anonymization Techniques

Method 1: Remove Names

  • Instead of “Sarah Smith, Oakwood School”

  • Use “Student_12345, Region_North”

Method 2: Age Ranges

  • Instead of “7 years, 3 months”

  • Use “Age 7-8”

Method 3: Geographic Areas

  • Instead of “123 Main Street”

  • Use “Postal Code Area”

27.4 Data Security

At the School Level:

  • API keys stored locally

  • Data encrypted

  • Passwords required for admin

At the Ministry Level:

  • Secure servers

  • Firewalls

  • Access logs

  • Regular security audits

27.5 Legal Requirements

Different countries have different laws:

Law Region Requirements
GDPR Europe Parental consent, right to delete
COPPA USA Parental consent under 13
PIPEDA Canada Consent, limited use
Privacy Act Australia Security, transparency

Always check with your legal team before collecting data!

27.6 Getting Consent

For students under 18, you need permission:

Parent Consent Form should include:

  • What data we collect

  • Why we collect it

  • How we protect it

  • Who can see it

  • How to opt out

Sample Consent Text:

“I give permission for my child’s anonymized quiz scores to be used for educational research. No personal information (name, address, photo) will ever be shared. I can withdraw consent at any time.”

27.7 Data Retention Policy

How long should you keep data?

Data Type Suggested Retention
Quiz scores 5 years
Student records Until student leaves
Research data 10 years
Anonymized statistics Indefinitely

Automatic Deletion:
Set up your system to automatically delete old data after the retention period.
